Cancellation and Refunds

Talent Vertex Partners sells professional recruitment services to businesses. This page states when an engagement can be cancelled and when money is refunded. Where this page and an agreement you have signed with Talent Vertex Partners differ, the signed agreement prevails.

1. Cancelling an engagement

Either side may end a Retained Search engagement in writing. Fees already paid are then treated as set out below. A placement that has already concluded remains payable.

2. Retained Search — the activation fee

The activation fee is paid before the search starts and is credited in full against the placement fee when the engineer joins. It is earned as the work is done. It is refunded in full in the two cases at the top of this table; in the others it is not refunded, and in most of those it transfers to another position.

The process stalls on your sideWhere there has been no interview and no feedback from you for 20 working days despite our written request, we may suspend the search. The fee is then neither refunded nor transferable.
The position is filled from another source during the exclusivity period in your signed termsNot refunded and not transferable.

What counts as the first shortlist: three technically screened profiles for the position, each with its screening report — or, where three do not exist, a written market finding that shows you with evidence why, and what the position would have to change to become fillable.

3. Retained Search — the placement fee and replacement cover

The placement fee is charged once, when the engineer joins, and is not refunded. Every placement carries replacement cover instead: if a placed engineer resigns, or is exited for performance, within 90 days of joining, we run one replacement search at no placement fee and no new activation fee.

Where we have not delivered a suitable replacement within 45 working days of your written request, we issue a credit note for the placement fee paid on that hire, valid for 12 months against any Talent Vertex Partners invoice. The cover applies once per placement and requires that the placement fee was paid in full by its due date, that the role, level and location are unchanged, and that the exit was not caused by redundancy, restructuring, a material change to the agreed role, or non-payment of the engineer's salary.

5. How a refund is paid

A refund of money is paid to the original payment method through Razorpay, or by bank transfer where you paid by bank transfer. Where you end an engagement because the first shortlist was not delivered, the activation fee is refunded within 10 working days of your written notice. A refund of credits appears in your credit balance in the client portal, with the reason.
